Optics and management software glossary

The terms that come up in the world of optics, optometry and running a store — explained simply. From the Health System (TS) to the itemised receipt, from art. 9 data to matrix lenses.

Tax & compliance

Health System (Tessera Sanitaria, TS)
The public system opticians use to report citizens’ healthcare expenses (Italy’s pre-filled 730 tax return). RiVedi submits the data with a certified client, encrypting the citizen’s tax code and flagging each line as deductible or not.
Itemised receipt (scontrino parlante)
A receipt that carries the customer’s tax code and the nature of the product (frame, lens, device), required to claim the tax deduction on healthcare expenses. RiVedi generates it printable from the sale.
AD / AA expense type
Health System expense codes: “AD” marks the purchase of medical devices (e.g. corrective glasses and lenses), “AA” other healthcare expenses. RiVedi assigns the code per line at submission time.
Art. 9 GDPR (special categories)
Health-related data — such as refraction, prescriptions and history — are “special categories” under art. 9 GDPR and require stronger safeguards. RiVedi encrypts them at field level with a dedicated key and logs every access.
MDR (Medical Device Regulation)
EU Regulation 2017/745 on medical devices. Corrective glasses and lenses are custom-made devices: RiVedi supports material certification and the required documentation.

Sales & checkout

Job (work order)
The work order for a complete pair of glasses: from deposit to lab dispatch to final balance on collection. It ties together frame, lenses, prescription and progress status (“ready to collect”).
Quote with expiry
An offer to the customer with a validity date. RiVedi flags expiring quotes on the “Today” screen and converts a quote into a sale, reusing stock, points and numbering.
Credit note / return
The document that reverses, wholly or in part, a sale already issued. RiVedi computes the refund in proportion to the discount applied and prevents refunding more than the original amount.
Cash book (prima nota)
The daily cash register: cash takings (sales and deposits on jobs) plus manual movements, with a per-store balance. It’s used to reconcile the till at the end of the day.

Clinical & optometry

Refraction
The measurement of the visual error (sphere, cylinder, axis, addition) that defines the prescription. In RiVedi it lives in the encrypted clinical record and can be imported into the job via the “Rx bridge”.
Optometric history (anamnesis)
The structured collection of the customer’s visual and general history: symptoms, visual acuity, family history, medication, work habits. In RiVedi it is field-structured and encrypted (art. 9).
Contact lenses (CL)
Contact lenses and their related history (type, wear, maintenance). RiVedi manages them in the clinical record alongside refraction and reports.
Rx bridge
The feature that imports the refraction from the latest clinical visit straight into a new job, avoiding re-typing the values by hand. It is subject to the clinical-data read permission.

Inventory & lenses

Matrix lenses
Ophthalmic lenses handled as a grid of combinations (sphere × cylinder, indices, coatings) with versioned rules and price lists, rather than individual stock items. Price and prescription are snapshotted onto the job.
Lens feasibility
The check that the requested lens falls within the manufacturer’s ranges for that prescription. RiVedi warns if the value is out of range or requires a prescription lens, already from the quote.
Lab order
The spec sheet used to commission edging/mounting of the lenses to the lab. RiVedi produces it printable from the job.
Valued inventory
The physical stock count with the economic value of holdings at a frozen cost. RiVedi reconciles differences with adjustments and produces a report.
Supplier payables
The summary of supplier invoices to be paid: outstanding balance (amount minus payments), due dates and status. In RiVedi it is restricted to the owner.

Customers & marketing

Loyalty (points program)
The loyalty program: the customer earns points on purchases and redeems them for rewards. In RiVedi the earn rate and reward catalogue are configurable per store.
Recall
The reminder inviting the customer back for a new check-up or purchase (e.g. at visit expiry or since the last pair). RiVedi suggests them and can send them via WhatsApp on an opt-in basis.
Per-channel consent
GDPR consent collected separately for each contact channel (e.g. WhatsApp, email). RiVedi keeps it in an append-only ledger and checks it before every send.
WhatsApp Business Platform
Meta’s official platform for sending messages based on approved templates (reminders, “glasses ready”, greetings). RiVedi sends for real and in line with consents.

Platform

Multi-store
The ability to run several stores from one account: every entity carries the store it belongs to, with per-store views and headquarters consolidation (HQ). Moving from Solo to Chain requires no data migration.
RBAC (roles & permissions)
Role-based access control (owner, optometrist, salesperson…). It determines who can view or edit what; the backend is the source of truth, the frontend merely hides the buttons.
